ADMINISTRATIVE ASSISTANT
POSITION SUMMARY Under the supervision of the Library Director, the Administrative Assistant manages all library bookkeeping, payroll, insurance, and building maintenance responsibilities.
RESPONSIBILITIES AND DUTIES Keeps accurate and detailed records of expenditures of state, federal, and local funds Records and reports all library revenue on daily, weekly, and monthly schedules Supervises building and grounds maintenance Prepares payroll for library employees Updates insurance inventory annually Conducts bidding for building, grounds maintenance, and insurance contracts Submits bills to library's financial agent for payment Ensures that janitorial supplies are ordered as needed Keeps record of staff's annual leave and sick leave Notifies staff of unscheduled library closings Acknowledges and maintains memorial donations Contacts Governing Board members for monthly meetings Sets up meeting room for Governing Board meeting Attends conferences and workshops as appropriate Assists library director with special business projects Performs other duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES Knowledge of modern office practices/procedures Business computer skills (including Munis software) Ability to complete assigned projects in a thorough, accurate, and timely manner Knowledge of accounting and filing methods Computer literacy or willingness and ability to complete computer training satisfactorily Ability to supervise library employees and contractors Ability to work independently Good judgment and sound decision-making skills Good written and oral communication skills Patience, tact, and a good sense of humor Ability to maintain good working relationships with public/staff
EDUCATION AND EXPERIENCE Minimum two-year business degree Three years of relevant work experience |
